Receptionist
EPTAC is looking for a Receptionist to join our team in our Salem, NH office. This person will be responsible for greeting our customers/students/visitors, supporting students to settle in their classes, answer questions regarding the facility or their classes and helping with other administrative tasks.
The ideal candidate is a high energy, positive, results-driven and hands on person willing to learn to advance a career EPTAC.
Responsibilities:
- Welcome and assist guests, customers and students, and team members with a warm, professional greeting, ensuring every visitor has a positive first impression and clear guidance.
- Support Students and answer any questions regarding their classes or regarding our facility
- Answer, screen, and direct incoming phone calls; respond promptly with accurate information and escalate inquiries as needed.
- Maintain and curate the reception area, ensuring it remains tidy, stocked with branded materials, and represents the company’s values at all times.
- Handle daily correspondence efficiently by organizing, receiving, and distributing mail, packages, emails, and faxes using modern office technologies.
- Oversee visitor management and office security: verify identities, issue badges, monitor digital sign-in logs, and enforce compliance with safety protocols.
- Schedule and coordinate meetings, appointments, and travel arrangements for staff, utilizing collaborative scheduling tools for maximum efficiency.
- Deliver cross-departmental administrative support, including document preparation, digital filing, scanning, transcribing, data entry, and report assistance.
- Order and track office supplies to ensure ongoing availability and cost control.
- Proactively support management and colleagues by facilitating guest experiences, arranging refreshments, and responding skillfully to internal and external queries.
- Utilize smart visitor and office management software to streamline notifications, security, bookings, and administrative workflows, continuously seeking process improvements.
- Learn and develop new skills - Understand EPTAC's business and how we work. Work on continuous improvement for how we support our customers/students and visitors.
Requirements:
- 3+ years experience working in a professional environment
- Bachelor’s degree or equivalent
- Excellent ability to manage and build relationships
- Be a great team member - develop relationships and be the go to person for our instructors and broader teams.
- Practical, quick and hands on approach to problems
